Using the Highlighting Tool in Word 2003

Located on the Formatting toolbar, use this tool to highlight important or questionable information.

Hightlighting items
To apply to a single items select the text and then click on the highlight button, to stop highlighting, click back on the highlight button.

To apply to multiple items, click on the highlight button and then select the mutliple items in your document.  Click back on the highlight button to stop highlighting.


Changing the highlighter colour
Click on the highligher button and choose a colour, which becomes the new default.  Use a light colour, if the document is going to be printed with highlights in  especially for monochrome printing. You could standardise colour to indicate – type of issue being highlighted.

Removing Highlights from a document
Select the area that you want to remove the highlight from, and then choose None from the highlight colour menu.

To temporarily remove highlighting (on screen and for printing) – click Tools | Options [View] ‘Highlight’

Navigating through highlights

Edit | Find under Format – choose Highlight
Find Next

To select all items – click Highlight all items and the click Find All

Replacing colours

  1. Change colour on highlighting tool to desired colour
  2. Edit | Replace
  3. Format | Hightlight
  4. Click in Replace with box
  5. Format | Highlight
  6. Replace All

You can Find Next to replace one colour at a time
You can use Find all option and then replace colour
